WebFocus Excel File Upload

 

Problem/Question

Some reports in WebFocus require additional data from outside sources, and this data has to be uploaded to WebFocus in order for it to be used for reporting. 


Overview

This KB article will go over uploading of Excel files to WebFocus.  You must work with the Report Developer Team (ITS/IR) to ensure you have permissions to perform the actions outlined in this article.


Solution

  1. Login to WebFocus via our Application Shortcuts page

  2. Navigate to the EDASERVE Reporting server:
    1. Collapse the Domains tree
    2. Expand the Reporting Servers tree
    3. Expand EDASERVE
    4. Expand the respective folder that you have been given permission to upload to
      ​​​​​
  3. If the file already exists, you will have to delete the *.xls or *.xlsx file in order to replace it
    1. Click on the respective excel file
    2. Click Delete
  4. Upload the file as an Image to the respective folder
    1. Right-click on the folder, for which you have been given permission
    2. Click Upload
    3. Click Image

  5. Select the file from your computer. The uploaded file must have same filename as the previous file, or a filename given to you by the Report Developer Team
    1. ​​​​​​​​​​​​​​Click Choose File
    2. Click Upload
  6. Run the report that uses the the respective excel file to ensure that it runs without errors, and that you see the new information in the report.

Troubleshooting

When uploading an excel file, their are several issues that can cause the file to break the respective report that uses it.  Below are some solutions to common problems.

Extra Rows

Excel or some programs that produce excel documents can create extra rows at the bottom of the table.  Delete these rows prior to uploading the file.  These rows may not even be visible.  To be safe, you can delete 5 rows of data below the last piece of data, and that should fix the issue.

Extra Columns/Renamed Columns

When a report uses an Excel document, the columns must remain the same whenever the file is uploaded.  Otherwise, data may be missing or the report will not run.

Protected View

If you have downloaded an excel file from online, it is very possible it will default to opening in a "Protected View".  When this happens, the file cannot be upload to WebFocus, until it is resolved.

To get around this error, you must open the file that was just downloaded.  Click Enabled Editing, and then save the document.  This should permanently remove the Enable Editing, and allow it to function in WebFocus.
