Accessing and Running Reports in SAP Business Objects

Problem/Question

How do I retrieve, run, filter, export, or request access to a report in BusinessObjects at UM-Dearborn?


Overview

BusinessObjects is UM-Dearborn's system for generating, reviewing, and exporting institutional reports. Reports are organized in folders and can be run and customized using prompts and filters. Users can request access or submit issues through a dedicated portal.

You can use the BusinessObjects Launch Pad to access reports, configure results, export data, and request help as needed.


Solution

 

Retrieving a Report



To retrieve a report, click the Folders tile on the BusinessObjects Launch Pad.

In the Folders panel, navigate to Public Folders > Unit-Maintained > UM Dearborn. When navigating to a report, please click just once to open a folder/file. Double clicking may unintentionally navigate to the incorrect location. 


If the UM Dearborn folder is not visible, scroll to the bottom of the folder list and click More to expand and display additional folders. Click the UM Dearborn folder, then select the desired report to open it.

 

After opening a report, a summary will appear on the right-hand side of the screen. 

Run a Report

If the Prompts window appears, click the Refresh icon at the top to load current data to select from. Adjust prompts as needed by selecting or deselecting boxes next to values you want in the report. You can use the Search bar if the list is long and click the Refresh icon in the Prompts window to update available values. Repeat this process until all prompts are configured, then click Run.

Wait while the Refresh Document window displays and the report is generated. Use Cancel if you need to stop. Use the page navigation buttons at the bottom of the report to move between pages if necessary.

Report Tabs

Some reports in Business Objects contain multiple tabs, displayed near the top or bottom of the report workspace. Each tab represents a different view, page, or section of the report and may display different data or summaries. Click on the report tabs to navigate between these sections. Be sure to review all tabs to access the full set of information included in your report.

Filter Report Results

For some reports, you can use the filter bar in the header area of the report to narrow the results. The filter bar displays horizontal filter fields above the table area. Select or enter filter values to control which records appear in the table. You can also perform a basic search by entering a keyword to filter the displayed data.

Export a Report

To export a report, click the download button in the File section of the toolbar.

Choose your desired export format: Excel, PDF, HTML, TXT, or CSV. In the Export To window, configure all settings under the Content and Options tabs as needed. These settings may include options such as pages to export and delimiter values, depending on the selected format. Click Export. The report will be automatically downloaded to your browser’s default download location.

Request Access, New Reports, or Maintenance

To request a new report, edit an existing report or report a data issue, visit the UM-Dearborn BusinessObjects Request. Submit your request or issue there, and the Report Developer Team will assist you.
